The New Continental Hotel honours the rights of its guests, employees and other users’ including website visitors’ right to privacy and data protection. We are committed to ensuring that your privacy is protected and understand the need for appropriate protection of all personal information provided by you to us. The New Continental Hotel, are fully committed to complying with the provisions of all applicable Data Protection legislation and regulations such as Data Protection Act and EU GDPR. This privacy policy has been created in order that you understand the importance that we attach to this issue and our commitment to ensure that we comply with legislation in this area. This Policy is effective as of 24th May 2018. The policy will be continuously assessed against new technologies, business practices, regulatory changes and evolving needs.

Data Controller

The data controller for all personal data collected is the New Continental Hotel registered in England No. 01329546.  This means that we are responsible for deciding what data we collect and how we hold and use your personal data. We will implement appropriate data security measures for protecting the data from unauthorised access and loss, as laid out in the Security section of this Policy.

Data Collection

We collect information about you when you login to our guest WiFi or commence or complete an online transaction to use or purchase our products and services. We collect information about you when you contact our staff to make a booking at the hotel, Steve’s Brasserie or Club Continental.

The New Continental Hotel collects and maintains a variety of personally identifiable information, including names, email addresses, phone numbers, payment information, social media profiles, business and home addresses and details of Hotel services the users may be interested in such as Steve’s Brasseie, Club Continental, and Hotel events. The New Continental Hotel collects information directly from individuals or from the companies of the individuals staying with us. The information could be collected through e-mails, phone calls, online registration forms, event registration forms and face to face meetings. The New Continental Hotel does not collect personal data about individuals except when there is a legitimate business requirement or when such information is provided on a voluntary basis.

Users should also be aware that non-personal information in and data may be automatically collected through the standard operation of the New Continental Hotel’s web servers, and by the use of cookies technology and/or Internet Protocol (“IP”) address tracking. Non-personal identification information might include the browser used by you, the type of computer, the operating systems, the Internet service providers, and other similar information. The New Continental Hotel’s web server also automatically gathers information about the top viewed and visited pages and links on our website, top entry and exit points, number of form completions, time spent on pages, top downloads, top keywords used offsite to lead customers to our website, your internet protocol (IP) address, information collected via cookies, the areas you visit on the website, the links you may select from within the website to other external websites and device event information such as system activity, crashes, hardware settings, browser type etc. Most browsers are set to accept cookies. You can set your browser to refuse cookies, or to alert you when cookies are being sent; however, if you disable cookies, the full functionality of the New Continental Hotel’s websites may not be available to you. The information thus collected enables us to develop and customise our services better to meet your needs and preferences, and to bring to your attention our services and events.

We have CCTV installed in public areas of the hotel, particularly around entrances; exits; stairwells and our Car Park: this is for the purposes of prevention and detection of crime and employee monitoring.

We also collect information about you when you sign up to any of our loyalty programmes, subscribe to our marketing communications, complete our voluntary customer surveys, enter our competitions or provide feedback. These may be carried out online, by telephone or in person. Some of the information we collect may be classed as personal data, that is, it is information about an individual who can be identified by it. It may be collected any time you submit it to us, whatever the reason may be.

In doing business with you, typically we will collect:

  • Full or partial contact details including names and addresses (including business details if you are making a corporate booking), telephone and email details
  • If you have special requirements then it may also be necessary to collect details about diet or disability or any other preferences that you may have
  • Car parking arrangements at the hotel may also make it necessary for us to collect your car registration number for your visit with us
  • We collect payment card information from you should you choose to use this form of payment for purchasing use of our products and services
  • If you choose to connect with us via social media links, for example Facebook or Twitter, we may collect your username, your name (including surname).
  • From our overseas guests we may also collect passport details

If you provide us with any personal data relating to any third party (e.g. information about your spouse, children, employees or colleagues) for particular purposes, by submitting such information to us, you warrant and represent to us that you have obtained the consent of such third parties to provide us with their personal data for the respective purposes.

How will we use the information about you?

We use the information we collect about you to process your bookings, answer your queries, process voucher purchases, provide our hotel, club and restaurant facilities and services and provide loyalty or membership programmes. To date, the New Continental Hotel has never collected, stored or used any personal data for any reason other than providing great customer care or promoting our business services and  we have never taken part in ‘cold’ promotional activities.

Our communications are generally sent by email but we may sometimes use other methods of delivery such as by post. We may use your information to meet and comply with any applicable rules, laws, regulations, codes of practice or guidelines by any legal or regulatory body which are binding on us; and for purposes which are reasonably related to the aforesaid.

Data sharing

We do not share your data with any third parties and we do not share your data with any businesses external to the New Continental Hotel.

From the data we collect, you should only ever receive communications from ourselves. The only exception to this is if you have additionally agreed to receive communications from external third parties, via take up of any special third party promotions, competitions and club memberships in which we may participate.

We may also disclose personal data as permitted or required by law. For instance, if asked by the authorities, such as the police or HMRC, we may share your personal data with them for the purposes of prevention and detection of crime. Information is not shared with them outside of this purpose.

Social media

We may use third party provided tools such as Hootsuite to manage our social media interactions. If you send us a private or direct message via social media the message may be stored by Hootsuite. Like other personal data, these direct messages will not be shared with any other organisations.

Transaction and information security

The New Continental Hotel uses reasonable measures to safeguard personally identifiable information. The implemented measures will be appropriate to the type of information maintained and compliance with all relevant legislation governing protection of personal information. Measures are implemented to preserve the confidentiality, integrity and availability of the personal information. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to only those employees, contractors or agents who have a legitimate business need to have access to that data. The employees, contractors or agents will process your personal data in accordance with our instructions. They will be subject to a duty of confidentiality and due care with respect to handling the personal data. We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so. The New Continental Hotel employees are trained on data security and information protection. Relevant areas of the New Continental Hotel website will employ Secure Socket Layer (“SSL”) or Transport Layer Security (“TLS”) encryption technology to enhance data privacy and help prevent loss, misuse, or alteration of the information collected and retained by the New Continental Hotel. We understand how important it is to securely process the information that you provide. The New Continental Hotel takes the privacy and security of your payment and personal details very seriously.

You can tell whether a page is secure as ‘https’ will replace the ‘http’ at the front of the www.newcontinental.co.uk (http://www.newcontinental.co.uk) in your browser address window.  A small padlock will also appear in the bottom bar of your browser window or alongside the browser address, depending on the browser software and the version you are using.

For your safety, always check that all sites that you visit and will be sharing your card details features this padlock or unbroken key icon.  Before giving your card number out, check that the site is enabled and encrypted for online safety. Encryption is a data-scrambling technology that keeps crooks from stealing your personal financial information. Look for icons such as a padlock or unbroken key at the top or bottom of your browser as a sign that encryption is used.

FREE enterprise grade Wi-Fi

Our guest Wi-Fi service is provided by a contracted third party. If you choose to use the service to access websites or content provided by third parties or purchase products from third parties, then your personal information may be available to the third-party provider. The way third parties handle and use your personal information related to the use of their services is governed by their policies. The New Continental Hotel has no responsibility for their policies or third parties’ compliance with them. Our guest wireless system uses local area networks to transmit voice and data communication information; privacy therefore cannot be guaranteed, and the New Continental Hotel shall not be liable to you for any lack of privacy you experience while using the service. Whilst we take reasonable, appropriate technical and organisational measures to safeguard the personal data that you provide to us, no transmission over the internet can ever be totally guaranteed secure. Consequently, please be aware that we cannot guarantee the complete security of any personal data that you transfer over the internet to us whilst in transit.

We advise that you follow general internet security guidelines:

  • Always log out and close the website browser when you complete an online session, especially if you are using a computer or terminal in a public location.
  • Keep your online account passwords private.
  • When creating a password, use at least 8 characters. A combination of letters and numbers is best. Dictionary words, your name, email address or other personal data that can be easily obtained are best avoided for passwords.
  • Avoid using the same password for multiple online accounts.

Opt-Out

For legitimate business interests, the New Continental Hotel must maintain certain information. If your company has nominated you as a relevant contact required to receive information regarding your stay, we are also obliged to keep this for business reasons.

The New Continental Hotel is contractually obligated to provide its guests with important information regarding their stay or booking, however if you do not wish to receive marketing material, you may opt out of this at any time. If you no longer wish to be contacted by us after your stay, you can opt-out by any of the following methods:

  • Selecting the UNSUBSCRIBE link included on all email promotions
  • Contacting New Continental Hotel at reception@newcontinental.co.uk including: Data Protection Enquiries & Concerns in the subject header
  • Contacting New Continental Hotel on 01752 276798 asking to speak with the person responsible for Data Protection Enquiries & Concerns

Business transfer

In the event that our business is transferred, sold or integrated with another business, your details may be disclosed to our advisors and any prospective purchaser’s advisors and may be passed to the new owners of the business.

Accessing and amending your personal information

Phishing

This is the term used for the practice of tricking someone into giving confidential information. Examples include falsely claiming to be a legitimate company when sending an email to a user, in an attempt to get the user to send private information that will be used for identity theft and fraud. We will never ask you to confirm any credit or debit card details via email. If you receive an email claiming to be from the New Continental Hotel  asking you to do so, please ignore it and do not respond. You can contact the hotel, details above, to report it or if you are unsure.

Links to other websites

This privacy policy applies solely to information collected by the New Continental Hotel. Our websites may contain links to external sites, operated by other owners and third parties, over which we have no control. For this reason, we encourage our visitors to be aware when they leave our website and to read the privacy statements applicable on other sites they may visit. Any access to such other sites or pages is therefore entirely at your own risk. We are not responsible for the data protection policies (including personal data protection and cookies), content or security of any third party websites linked to or from group websites.

Changes to our privacy policy

Our privacy policy is regularly renewed. Following any changes, the new version of the policy will be uploaded to the website and the old version removed. Please check back frequently to see any updates.
